Using the Zoom client gives users a little more power to collaborate and share information more efficiently and effectively. One of the biggest, and most commonly request features, is the ability to share a screen with the meeting participants. Installing the client and participating in the session using the client enables this ability.

If you are ready to get started with Zoom conferencing, go ahead and Download Zoom!

Sign-In to Zoom

  1. Open the Zoom application
  2. Click Sign-In
  3. Click Sign-In with SSO
  4. Enter WPI into the Company Domain text block and press Continue
  5. In the pop-up, enter your WPI email address and password to authenticate using WPI's Single Sign-On

Host a Meeting

In the Zoom client, press New Meeting.

A new meeting will be created automatically. Invite users to the meeting by:

Contacts

Search for, or scroll through, and select the desired contacts to add to the meeting. 

Email

Within Client

Choose the Default Email option to generate an email in your default mail application. Add users to the To: field and send! This allows for external users (non-WPI folks) to join web conferences.

Personal Email

On the bottom of the Invite screen are options to Copy URL  or Copy Invitation. Use these options to copy the necessary information and send to participants directly from your email.

Joining Zoom

To join a Zoom meeting, you will first need to download Zoom and then receive an invitation from the meeting host. Depending on the manner in which the invitation is provided, you will need to either:

  • Open the Zoom Client, select Join a Meeting, and input the meeting ID number
  • Navigate to the link provided and select Join Zoom Meeting from the popup

Meeting Options

Enable Password

IT recommends enabling a meeting password and sharing that password with your meeting attendees privately over email, in a calendar invite, or within Canvas. Do not post your meeting password on a publicly accessible website. See Actions for Zoom instructions on Meeting and Webinar Passwords. 

Audio Options

  • Computer's Built-In Microphone
  • Call in using the phone number / meeting ID information

Share Screen

Press the Share Screen button. When you have finished sharing or presenting, use the Stop Sharing button on across the top tab of your desktop window.

Options for screen share include:

Machine Display

You have the ability to share your full desktop display, or you can share specific windows. This is great if you want to present in one application, but prevent pop-ups from Email or Microsoft Teams from showing up!

Whiteboard

Use the Whiteboard to display problem sets and brain storm ideas. Use the text, draw, and eraser options as if you were in a conference room or classroom with a whiteboard!

Participant Screen Sharing

As a security response, Zoom has disabled the ability for participants to share their screens automatically. Hosts can either give participants permission to screen share during a meeting, or change default settings in Zoom to allow them to screen share.

  1. Open Zoom and click the Settings (cog) icon in the upper right corner of the Home tab.
  2. Click Profile, then click the View Advanced Features button.
  3. Scroll down to Screen sharing and select either Host Only (default) or All Participants. If you select All Participants you can also allow participants to share when someone else is sharing.

Video Options

Use the Start Video or Stop Video button to enable or disable video using your webcam.
